Everyone in an organization deals with multiple documents on a daily basis, and keeping track of them is a massive challenge. CAI offers an integrated document management system, DataView Document Management, that stores, manages, and tracks electronic documents and images throughout a company. Electronic cloud document management reduces dependency on remote locations or branches and facilitates improved customer service by storing documents and data in a central repository or electronic “filing cabinet.” DataView eliminates missing and incomplete information, increases data verification efficiency and document security, and avoids loopholes that inevitably impact profitability. The DataView system incorporates document and content capture through indexing electronic documents, scanning, and user import of documents. Documents created both inside and outside the organization can be stored safely and accessed easily. With DataView Document Management software, information flows securely to all users who need it.

One of the absolute best things about DataView, and a feature that we have been using since our go-live, is the ability to easily import both emails and their attachments when we’re working on special orders, dealing with issues after the sales or corresponding with customers. In the two years that we’ve been using the DataView system, we’ve stored in excess of 230,000 documents. I’d estimate at least 10 percent of those documents being email correspondence between our sales people and their customers.
DataView is an integral component of our centralized accounting system. It’s instrumental in ensuring that invoices are paid on time and that we’re much better equipped to answer questions promptly from our vendors and customers. We also know that our people in the field and at each division are able to devote significantly more time to inside sales and other tasks all with no change in headcount. DataView gives us centralized payables for each division. As vendor invoices are received, we just enter the PO, hit a button to scrape, or read, the screen and convert the contents to an electronic document. From there, DataView locates the right folder in the system, automatically matches the right invoice to the right vendor and stores the file. It couldn’t be easier!
Last fall we began speaking with the folks at DataView. When we looked at the solution, we immediately recognized just how much time and money the system could save day in and day out, and just how much more effectively we could service customers. We went live with the new system in December of last year and we really couldn’t be happier with the results. Our service representatives can now quickly lookup customer statements, acknowledgements, warranty information and other documents related to a particular repair in one place without leaving their desks which really improves everybody’s productivity.
Our document retrieval system works flawlessly! For almost twenty years we have been working closely with DataView as our document storage and retrieval vendor. In the Telecommunications industry we work with a number of vendors on a daily basis and I can say unequivocally that we wish more of our vendors were like DataView. From initial setup and installation, to annual support and special projects they have always met our needs in a timely and professional manner. DataView not only supports all of our in-house needs, but with simple application interfaces our invoices are available online for customers to view and pay their bills via our secure web portal. Each department has been able to customize security, folders and retrieval according to their needs creating efficiency company wide.
Working with at least a dozen hardware vendors and over 35 software vendors, I have to say that DataView is in the top one percent of our most valued vendors. I’ve worked with the team at MultiProcess going on twenty years now and have had nothing but success with their flagship product, the Dataview Document Management System. My company serves the Telecom industry and I don’t believe that we are unique in any way when it comes to using the Dataview. Where we may be unique is how we introduce our data to the system. Time-after-time requests have been made here at CDG to “tweak” the system enough so that we can not only maintain what is in place but enhance what we need for the future. The team at DataView has always understood those needs and delivered the product changes on time. I highly recommend their product line.
The support is fabulous! I have worked with DataView for almost 20 years. They have a very user-friendly system. Most users can figure out how to find the archived files that they need without any training. The support is fabulous. I send an email to their support team and my problem is fixed that day. My system has never been down. We have another archive system that doesn’t come close to this one.
